Interpreting data and reporting the findings is a critical workplace skill. The goal is to turn raw data into a clear, understandable story.

Key Language for Reporting Trends:

  • Upward Trend: 'Sales increased sharply in the third quarter.' Other verbs: rose, grew, climbed, surged.
  • Downward Trend: 'Employee turnover decreased steadily over the past year.' Other verbs: fell, dropped, declined, slumped.
  • No Change: 'The market share remained stable between May and June.' Other phrases: held steady, did not change, stabilized at.
  • Fluctuation: 'Product engagement fluctuated throughout the year, with peaks in summer.' Other verbs: varied, was volatile.

Structure of a Simple Data Report:

  1. Introduction: State the purpose of the report and the data being analyzed. ('This report analyzes website traffic data from Q1 to Q2 2024.')
  2. Key Findings (The 'What'): Present the most important trends or insights from the data. Use clear topic sentences. ('Overall, website traffic increased by 15%. The most significant growth came from organic search.')
  3. Interpretation (The 'So What'): Explain what these findings mean. Why did this happen? What are the implications? ('This increase is likely due to our new SEO strategy. It suggests we should continue investing in content marketing.')
  4. Conclusion/Recommendation (The 'Now What'): Summarize the findings and recommend the next steps. ('In conclusion, the data shows our SEO efforts are successful. We recommend doubling the content budget for Q3.')
